Objective: proper timing, clean cargo list, secure packaging and coordination with the exhibition site.
1) Slots and tight schedules
In most events, delivery and set-up take place in specific time windows. If a slot is missed, queues, extra waiting and time pressure ensue - just when you shouldn't be in a hurry.
- Book early the unloading appointment (where required) and confirm it 24-48 hours in advance.
- Build loading range: first what is set up last, last what is set up first.
- Calculate time for parking/entry/control (especially in big events).
2) Access and parking in Athens and Thessaloniki
Some difficulties are found in locations near the airport (e.g. Metropolitan Expo) and others in central locations such as the Thessaloniki International Fairgrounds: traffic congestion, limited parking space, difficulty of access with a large vehicle and the need for quick unloading.
- Select suitable vehicle for access (not always «the bigger the better»).
- Ask the organiser access instructions (entrances, ramps, timetables, regulations).
- Do you have an alternative plan for waiting point when entry is delayed.
3) Packing and protection: the damage starts before loading
The best transport does not save bad packaging. In exhibitions there are fragile elements (lighting, displays, vitrines), heavy pieces (panels, stands, benches) and «quirky» objects (banners, product samples).
- Use hard boxes or crates where possible, especially for electronics/fragile.
- Visit marking per zone/stand section (e.g. “A - lighting”, “B - stall”, “C - samples”).
- Protect corners and surfaces, and secure the load so that it does not move inside the vehicle.
4) Lifting and handling in the exhibition area
Even if the shipment arrives on time, unloading may be «stuck» due to incomplete equipment or space constraints. In many cases, a suitable forklift drastically reduces time and risk.

5) Coordination with the booth space and technicians
